Reading Your Own Numbers

You don't need new software to start measuring your business. Most of what the metric pages on this site ask for is already sitting inside whatever CRM, invoicing tool, or spreadsheet you use today — it just isn't labeled the way these guides describe it.

Where to look, by system type

  • Any CRM with a pipeline/opportunity view

    Your close rate inputs (opportunities and wins) are almost always sitting in a pipeline stage report or a closed-won/closed-lost filter, even if it isn't called "close rate" anywhere in the interface.

  • Any invoicing or job-costing tool

    Job revenue and direct costs for gross margin are usually on the individual invoice or job record. The work is pulling them into one place, not finding them.

  • A plain spreadsheet

    If you don't have a system that tracks this automatically, a spreadsheet with one row per job (revenue, labor, materials, callback flag) is a completely legitimate way to start. The calculators on this site work the same whether the numbers came from software or a spreadsheet.

  • Dispatch or scheduling software

    Return-visit and callback data is often buried in appointment history rather than a dedicated report. Filtering by "same address, same issue, within 30 days" is a reasonable manual proxy if there's no built-in callback tag.

Start small

You don't need six months of clean historical data to start. Pick one metric, pull the last 30–90 days, and run it through the calculator on that metric's page. A rough number tracked consistently beats a precise number you never look at again.

If your systems disagree with each other

It's common for a CRM's revenue number and an accounting system's revenue number to disagree slightly — different recognition timing, different handling of deposits, that kind of thing. Pick one system as your source of truth for each metric and stay consistent, rather than trying to reconcile every system perfectly before you start measuring anything.
